Seven things to prepare before you connect to NBR e-invoicing
Most delays in an e-invoicing project come from missing information, not from software. This checklist covers what to collect and decide before your first invoice.
1. Your VAT number and every CR number
One VAT number can have several commercial registrations (CRs). Each CR needs its own device, so list them all and the branches each one covers.
2. A complete seller address
The NBR validator expects the seller's street, block, building, flat or shop number and city. Missing parts stop the first test invoice, so check them first.
3. Who holds the NBR portal login
Devices are registered in the NBR e-invoice portal with one-time passwords. For a VAT group only the group representative can generate them for the whole group. Decide who that is and make sure they can sign in.
4. Where your invoices come from
List every system that issues invoices: tills, ERP, booking software, spreadsheets. Each needs a way to reach the NBR, by API, by file or by a scheduled pull.
5. How customers are named
Over-the-counter sales often have no buyer details. Decide on a default walk-in customer and make sure real buyer details are kept when they exist.
6. Payment methods and VAT categories
The NBR accepts a fixed set of payment codes, and every line needs a VAT category and rate. Map your own payment names (cash, card, BenefitPay) to the NBR codes once.
7. Who reviews and who fixes
Decide who approves invoices, who is told when one is rejected and who watches the 24-hour deadline. Start with review switched on and relax it when you trust the data.
